Please take a couple of minutes to read through our cancellation policy, terms and conditions, as they contain important information that forms part of the contract between you and us. 

Cancellation policy

We ask you to pay the full amount of your holiday at the time of booking.  At this point, your holiday is considered confirmed and the following cancellation charges come into effect.  At the point of booking & paying, you are deemed to have accepted our terms and conditions. Any cancellation will be charged at 100%. However, if you wish to amend the dates of your stay, then please call us or email to discuss the options asap.

Terms & Conditions 

Bell Tent rental:

The hire of each tent includes the following, in addition to the facilities listed in the Welcome Pack: Tent hire, pitch, furnishings, parking, use of and access to designated areas of campgrounds, use of water and other services, as available.

It is the policy of Woods and Dunes that children are not to be left unattended in the tents at any time, or unsupervised in the forest, as there are natural hazards as per any wild environment.

Tents & Temporary Structures

Only our tents or temporary structures of any description are permitted on the campsite.

Dogs 

Sorry dogs are not allowed.

Check-in & check-out times:

Check-in: 4.00pm-8.00pm on the day of arrival. You will be given a specific check-in time when you book. This is in order to stagger arrivals due to COVID-19 regulations.  

Check-out: By 10am on the day you are leaving.

**If you arrive after 8pm we reserve the right to charge £25 late arrival fee for each unit of accommodation you have booked.   If you know in advance that you will be arriving after 8pm, please let us know & we will add the late arrival fee to your booking.

If you arrive too late to be able to complete the check in procedure with a member of staff we cannot be held responsible for any loss, damage or injury that occurs between time of arrival and completion of the check-in procedure. It is your responsibility to report to the duty manager at the central barn the next morning to complete the check-in procedure.

Deposit for cleaning and damages

A refundable deposit of £100 is requested on booking. This is a temporary hold of funds on a credit or debit card.  This is to cover any incidentals, loss, damage or extra cleaning incurred by your party to our accommodation or property.

The pre-authorisation is not a charge and no funds will be debited from your account; however your bank statement may show the pre-authorisation as a pending transaction. 

When you give us a credit/debit card, the pre-authorisation guarantees us that the funds are available to pay for any charges incurred during your stay or loss/damage to your accommodation.

Dietary requirements

If food forms part of your booking with us, it is your responsibility to inform us at the time of booking if any of the guests in your party are vegetarian, vegan or have any food allergies.  We will do our best to cater for food allergies, but cannot guarantee that our kitchen will be completely allergen free.  We will let you know if we cannot cater for your allergies or requirements. (NB not currently available due to COVID-19).

Group bookings & parties

We welcome friends & family gatherings, but parties are not permitted in any accommodation at any time.  If you would like to hold a celebration or party at any of our sites, then please contact us as we may be able to arrange something for you in our communal areas (venue hire charge will apply).

Wood-Burning Stoves and campfires

The wood-burning stove in the central barn may only be lit by the duty manager who is designated to operate the stove. 

For your own safety, only wood and kindling should be burned in the wood-burner. Do not burn any rubbish or any other form of fuel or firelighters in the wood-burner. A supply of wood is provided in the central barn for the wood-burning stove. Additional supplies of wood and kindling may be available on request..

Behaviour 

In order to make everyone’s stay at Woods and Dunes enjoyable, all guests are requested to be considerate of others. Inappropriate or anti-social behaviour may lead to removal from the site without a refund of the rental sum or any part of it. 

Guests of Guests


Non-paying guests are not permitted to stay overnight. Non-paying guests may not enter the campsite without the paying guest being present and without first informing the campsite management. Non-paying guests are not allowed to bring vehicles onto the site and must park in the public car park, be met at the gate by guest and accompanied in. It is the responsibility of the paying guest to ensure that any non-paying guests comply with all the terms and conditions. These regulations are to ensure the health and safety of people staying on the campsite as we require the names and addresses of all people on site and agreement that they will abide by the COVID-19, traceability, health and safety procedures.

Quiet at night policy

Please respect your fellow guests’ privacy and the forest.  Guests are not permitted to play amplified music at any time. After 10.00pm we request that all guests keep noise to a minimum in accommodation areas. The area around the barn, the firepit and the barn terrace can be used in the late evening until the bar closes.

Liability 

A. We can accept no liability for theft, loss or damage, of whatever nature, during or as a result of your stay. 

B. The person who books assumes responsibility for any other guests within his/her party, their companions, their children and any others invited by you or them to the site. You and all members of your party are jointly and severally responsible for all loss, damage or injury which may arise, for Woods and Dunes or any third party, as a direct or an indirect consequence of your party’s stay. 

C. If your accommodation or equipment is left in a poor condition resulting in additional cleaning, repair or replacement, you may be charged to cover the costs incurred. 

Force Majeure 

Where we need to cancel or change your booking as a consequence of circumstances beyond our control, our liabilities are limited to offering alternative accommodation (including alternative dates, where available). We cannot pay any compensation or meet any expenses or costs you may incur as a result of any such cancellation or change. “Force majeure” means any circumstances beyond the reasonable control of Woods and Dunes including, without limitation, an act of God, fire, flood, natural or nuclear disaster, adverse weather conditions, war or threat of war or acts or threat of acts of terrorism or pandemic/epidemic. 

Complaints 

Should you have a reason for complaint during your stay, please notify us immediately and we will do all we can to rectify the problem. Please refer the matter to the duty manager, if you feel it necessary. Should you remain unsatisfied please notify us in writing within 7 days of the end of your stay. Email [email protected] 

Disclaimer 

It is your responsibility to ensure you, and all members of your party, are familiar with our terms and conditions.

Camping can be dangerous. Although every care is taken in managing the various facilities, such as fire pits, wood burning stoves, camping gas stoves we cannot be held responsible for any loss or damage arising from any misadventure associated with any activity.

Whilst part of the camping experience is being free to roam around the woods via its pathways, certain areas, may represent hazards and may not be accessed without specific permission. Guests who enter such areas do so at their own risk.

Sometimes we offer optional adventure activities provided by our partner companies. These can be potentially hazardous to varying degrees in nature, and in subscribing to a given activity e.g. horse riding, our guests accept that they have satisfied themselves of those facts and are accepting any risk involved. Those with parental responsibility must recognise the degree of risk when signing the consent form.

When booking activities, Woods and Dunes  is acting as an agent for our partner companies who provide the activity. Any bookings will be on the partner company’s terms and conditions and we can accept no liability in relation to such activities. 

By completing a booking you agree to observe our guidance and recommendations and take full responsibility for your own safety.

By completing a booking, you and all members of your party, are deemed to have accepted our terms and conditions.
